寫一篇工作進度報告 (Status Report)
剛開始前幾週,總是在工作會議開始前三十分鐘內,倉促地趕出我的專案進度報告。進度報告的內容連我自己都有點摸不著頭緒,其他人就更不用說了,滿肚子的問號等著我去解釋。
立志要擺脫這種窘境,認真思考一下,應該要如何撰寫一篇脈絡分明的工作進度報告。
首先,先來瞭解一下為何要進行工作進度報告(Status Report)?它具有什麼樣的效益?
- Reassure recipients that you are making progress, that the project is going smoothly, and that it will be complete by the expected date.
- Provide their recipients with a brief look at some of the findings or some of the work of the project.
- Give their recipients a chance to evaluate your work on the project and to request changes.
- Give you a chance to discuss problems in the project and thus to forewarn recipients.
- Force you to establish a work schedule so that you’ll complete the project on time.
由以上幾點敘述可知,一份工作進度報告除了讓您的客戶或老闆瞭解目前專案進行的情況之外,在撰寫進度報告的同時,也能讓自己仔細思考目前專案的進行與資源的分配是否還在掌握之中,先前的專案規畫是否需要微調…等等。
因此,一般來說,一份進度報告應該要能清楚說明以下幾點:
- How much of the work is complete?
- What part of the work is currently in progress?
- What work remains to be done?
- What problems or unexpected things, if any, have arisen?
- How the project is going in general?
詳述專案的進度,目前所遭遇的問題,以及是否存在什麼樣的潛在風險,可能的影響…等等,讓客戶與老闆能夠了解目前專案的進行可如期完成。另外,清楚的權責劃分與責任歸屬,能讓老闆知道目前資源是否做了最適當的方配,同時,對於部屬也會有激勵的作用。
